If you sign up for ARENA* on our website and if you participate in the conference, we process some of your personal data in accordance with the following provisions:
In the course of your registration for ARENA* we collect the information you transmitted to us. This data includes your first name, your last name, your e-mail address, your position and the name of the hotel you work for. If you personally make payments to us, e.g. for the F&B Fee, we collect and process the payment information such as your bank details, including account name, account number and sort code. We use this data to register you properly for the conference and for the purpose of fulfilling the corresponding contract with you. Our legal basis for this Art. 6 (1) (b) GDPR.
At the conference, we use external service providers for these events (e.g. event agencies, security), we will pass on your personal data to commissioned service providers insofar as this is necessary for the accreditation (e.g. in the context of participant registration and/or access control). Furthermore, we make available to every participant a list of all attendees including all attendees' names, e-mail addresses and hotels, they work for. This will include also your personal data.
At the conference and at surrounding events (receptions, dinners etc.), film and sound recordings as well as photos will be taken, with the later use of which you agree by attending the event. The material produced in this course may be published on our website, in our social media channels and in further media for general commercial purposes. Our photographers are also instructed to consider your personal preferences when taking photos. You are welcome to contact our photographers if you have any complaints. We will also consider your personal interests when selecting photos for publication.
Legal basis for the aforementioned purposes is Art. 6 (1) (f) GDPR. Our legitimate interest is to enable networking activities among the participants of ARENA*, to document ARENA* and our interest in marketing our services as well as following conferences.
